Sending Gifts:

One of the main functionalities of our software is the ability to give charitable gifts. Gifts are a great way to recognize a Donor for an action or an accomplishment that aligns with your program's goals. Once the gifts are sent, they will automatically appear in the users giving fund. The user will be prompted to log in to view their new fund balance and donate to the charities of their choice.

Using our software, you can choose to send one gift or import multiple at a time. Click this link to learn how to import multiple gifts at once.

When an Administrator logs in, they should be able to see the Gifts button in the left-hand menu. If you do not see the Gifts button, this could be because you are in your personal giving account. Click on your profile image, then ‘Switch Accounts’ here you will see a list of accounts you are associated with. To send gifts, you will need to enter the “Customer Dashboard” or “Foundation Dashboard” view. To send gifts, the fund (where the money is coming from) will need to have a balance that will support the amount of money being gifted. If you need to add money to your fund, click this link to learn how to deposit money to your fund.

Before you begin, be sure to confirm the email address of the recipient is correct. This can be done by clicking on ‘Funds’, then search and the fund you’re interested in, click the settings link under the FundID, and scroll down to the Manage Access Section to copy the email address.

Once you’re in the Fund that you want to send the Gifts from and have enough money in that Fund for the Gifts you’re sending, here are the steps for sending a Charitable Gift or an Incentive Gift:

1. When the Administrator logs in, they should see a screen like this, and should click on ‘Gifts.’

2. To send a Gift or an Incentive, the Administrator clicks Create.

3. The Administrator then fills out all fields in the form.

  • The Email address must exactly match the email address of the recipient for the account.

    • This is especially important for users that have previously created their Fund. If the email account matches, the incentive will be contributed to their fund balance. Otherwise, it will create a new Fund for the user

  • Confirm the Amount is correct.

  • Fund is your Customer Admin Fund, there should only be one option.

  • The message can be completed with whatever message is desired.

    • Note: If administering an Incentive gift, best practice is to explain what it was earned for, and to direct the recipient to log in and distribute it.

  • Once Send Gift is clicked, the funds are immediately transferred from this Admin account to the recipient’s account balance.

4. You can see a history of Gifts sent as the default view on the Gifts page.

5. If you sent a gift to someone by accident, or they never accepted the gift because they did not create an account you can ‘Revoke’ the gift at any point. This can be done by entering the ‘Gifts’ section, searching for the gift you want to cancel, and select ‘Revoke’

For User’s that previously Enrolled, here is what the recipient’s account looks like before and after. See images below.

The recipient will also receive an automated email, similar to other automated emails generated by the product. Note that the message in the red box corresponds with the Message entered when creating the Gift. Additionally, note that ‘Jane’ will be replaced by the name on this Customer Admin

For User’s that HAVE NOT previously Enrolled:

  1. When the Gift is sent, the system automatically creates a Fund for the recipient, using the email address entered to Send the Gift.

  2. The recipient receives an automated email, similar to other automated emails generated by the product. Note that the message in the red box corresponds with the Message entered when creating the Gift.

3. Upon completing their Account, the user will have the balance waiting for them and will see a Gift in their transaction history.
